Intuit QuickBooks, explained without the sales pitch.

Your complete guide to QuickBooks Online: how the software works, how to access your account, and how to evaluate QuickBooks with a hands-on demo before you commit.

01 · Overview

What is Intuit QuickBooks?

Intuit QuickBooks is a family of accounting products. Most new customers today start with QuickBooks Online, the cloud edition that keeps your books in a browser tab instead of on a single computer.

At its core the software does three jobs: it records money coming in and going out, it sorts those records into categories your accountant understands, and it turns the result into reports. Everything else, such as invoicing, payroll add-ons, bank feeds and tax prep, grows around that ledger.

Bookkeeping

Connect a bank, review imported transactions, and assign each one to an account.

Invoicing

Send invoices, track who has paid, and chase the ones that have not.

Reports

Profit and loss, balance sheet and cash flow in a few clicks.

Teamwork

Invite an accountant or bookkeeper with their own access level.

03 · First week

A realistic first-week plan

New accounts feel heavy because everything is empty. This order keeps the setup small and useful.

  1. Day 1: look around firstUse a demo or sample company so you learn where menus live without touching real figures.
  2. Day 2: create your companyAdd your legal name, address, fiscal year start and the way you file taxes.
  3. Day 3: connect one bank accountStart with the account you use most. Add others after the first one is clean.
  4. Day 4: categorise the backlogWork through imported transactions in batches and create rules for repeat vendors.
  5. Day 5: send one invoiceTest the full loop from invoice to payment to bank match.
Tip: ask your accountant for their preferred chart of accounts before you start. Renaming later is possible but tedious.
